Answers to questions frequently asked (questions and answers provided by Joy Bauder).
Select File/County Information
Look at the 4-H Year Start Date. Date should read 12/31/Previous Year (e.g. 2003)
Select Utility/File Utilities/Utilities/Recalculate Age.
Select Youth2A.db and Youth2A1.db files.
This is an automatic function. Check your Member/Leader File to confirm. The date
has to be incremented yearly.
When the files were downloaded, did you place them in the data folder? These files
must be copied into the data folder or the changes will not take effect.
Saving location to use:
C:\Program Files\Youth Enrollment\Data
Prompt appears "This file already exists, do you want to replace it?"
Select "Yes"
Select Start/Programs/Windows Explorer
Double click on C: (or where your data is located)
Double click on Program Files
Double click on Youth Enrollment
Double click directly on the Data file folder
Select ALL Youth2* files, NOT the entire Data folder(*-refers to a, b, c, ect.).
By only selecting these files will eliminate the need for multiple disks
(depending on county enrollment)
Select Edit
Select Copy
Put disk in drive
Locate and double click on the A: drive
Select Edit
Select Paste
During installation, there may have been other programs running in the
background. (ie. Anti-Virus program) Uninstall again and be sure NO other
programs are running and reinstall.
Reason: Recreating the indexes varies depending on the speed
of the computer and the size of the data files. The first three steps of
the rebuild process are quick, but the fourth step may take more time.
Solution: Do nothing. Do not interfere with
process. Do not shut down during process. Do not hit escape during
process.
Note: Never do a "Select All" to Recreate Indexes. This
causes unnecessary hashing of good data files. Highlight only the file or
files which are causing and error.
1. Exception EDBEngine Error in module WinYouth... "Path controlled by another
NET file."
Cause: The BDE Net Dir is not set up correctly.
The Net Dir should be the SAME directory for every computer using the program.
This only applies to programs that are used in a network environment.
Fix:
Another cause is if one computer has LocalShare (in the BDE Admin under
Configurations | Systems | INIT) set to true, but other computers are set to false. Set
this to true for peer-to-peer networks, and false for client-server.
If the error still occurs after the settings have been checked, then do a search (Start |
Find | Files or Folders) for P*.lck in MyComputer. (...looking for Paradox.lck and
Pdxusrs.lck) Delete any of these files, if it finds them. (The files cannot be deleted if
someone is running the program. Make sure everyone is out. Also, sometimes the
Paradox.lck must be deleted prior to deleting Pdxusrs.lck).Next, search for P*.net.
Delete any Pdxusrs.net files it finds. Do this search and delete on all computers that use
the Youth Enrollment program, then restart all computers.
2. Error Message: When program is running, says missing VCL40.bpl
or VCL30.bpl
Reason: This usually indicates a lockup in Windows. If
this is not the case, it may be missing sequential updates.
Solution: Restart the computer. If it is a lockup in
Windows, this will solve the problem. If this does not work, backup your
data files. Uninstall the program from your computer. Do a full, new
install of the complete Youth Enrollment system from the most current version
Installation CD. Contact your state office if you are unsure of the most
current intallation version.
3. Error message: "Corrupt table other than header"
Reason: Serious error, throwing off your indexes; possibly
lost indexes.
Solution: Restore the most recent back up of all
files...*.db, *.px, *.?g?
4. Error message: "Index is out of date"
Reason: Possibly only copied in .db files.
Solution: If the files were sent to you by someone else, have
them send ALL related files to you, not just the *.db files. Such
as: *.px.
-OR-
Reason: Indexes became unsynchronized.
Solution: Recreate indexes on certain files. Depending
on which file you recieve this error message on.
-Click on Utilities|File Utilities
-Highlight file that you are getting the error from. (After you
determine the file, you can check the file name association in the File
Description Appendix in the manual.)
-Click File|Recreate indexes.
-Recreate the indexes of the file that is causing the problem.
5. Error message: "Key Violation" or Duplicate Record" error
message
Reason: Has a duplicated record i.e. Member Number.
Solution: Click "OK" to this error. Then either change
the primary field (Member number) to a value that is unique, or click
cancel.
-OR-
Reason: While doing Year End Processing, the program hangs and
never finishes processing because of duplicate projects codes in Member/Leader
File.
Solution: Check Member file for duplicate project entries.
6. Error message: No more users allowed
Reason: Program thinks there are more than 4, number of users
in program currently.
Solution: Delete all BRWYNet1.NAF files from your
computer. This will force the program to recreate the file with the
correct number of access slots. To delete files:
-Go to Start|Find Files of Folders (W2000/ME go to Search|Files or
Folders)
-In the field "Named": type BRW*.NAF
-In the field "Look In": choose "My Computer".
-Click on the files
-Press "Delete" on your keyboard.
-It will ask, "Are you sure?"
-Click "Yes".
-OR-
Reason: Path could be missing data files.
Solution: Check BDE path. Go to Start|Programs|Youth
Enrollment|BDE Administrator
-Click on "Databases" tab
-Click on "WinYouth"
-Under "Definition" on the right hand screen, verify the path is
correct.
7. Error Message: Lock file has grown too large
Reason: File locks up to protect the tables and data.
Solution: Delete lock files.
-Click Start|Find|Files or Folders (or Search|Files or Folders)
-In "Named": search for p*.lck
-"Look in": My Computer
-Click on "Find/Find Now" (Search Now)
-Delete any files it finds...(Delete Paradox.lck files first, then delete
Pdxursrs.lck files.)
8. Error: Record locked by another user
Reason: Either the same computer is editing the same
record.
Solution: Restarting the computer may solve this.
-OR-
Check the Net Dir.
-Go to Start|Programs|Youth Enrollment|BDE Administrator.
-Click on the "Configuration" tab
-Select- Configuration|Drivers|Native|PARADOX
-Make sure the PARADOX "Net Dir" the the network drive (This should be set to
the directory than contains the data files.) This needs to be at the level
the server has shared. You may need to consult with your IT department for
assistance.
